Compare quotes beyond the headline price

Send everyone the same brief

A comparison is only useful when providers are answering the same question. Share your date, location, guest range, event format, required hours, and must-haves. If a detail is tentative, say so. Ask providers to identify the assumptions behind their prices.

Keep your first brief short enough to answer. You do not need to design every detail before requesting a realistic package. You do need enough information to avoid comparing a two-hour service with a five-hour one or a room-only offer with a complete meal package.

• Use the same guest count and time window for every request.
• State any nonnegotiable food, access, or setup requirements.
• Ask for availability and the date through which the quote applies.

Build a common comparison sheet

Give each provider a column and each requirement a row. Include base price, duration, staffing, equipment, delivery, setup, cleanup, taxes, fees, and required extras where applicable. Mark each item included, extra, not offered, or not yet confirmed.

Do not turn an unknown into a zero. A blank charge can make an incomplete quote look cheaper than a complete one. Ask for missing information before using the total to rank your options. Keep optional upgrades separate so they do not obscure the cost of the package you actually need.

Ask questions that expose practical differences

Ask who will deliver the service, when they arrive, what the venue must provide, and how the handoff works. For entertainment, clarify equipment and sound needs. For photography, clarify coverage hours and what is delivered. For catering, clarify service style, staffing, and which guest counts drive the price.

Record payment dates and ask the provider to explain change, cancellation, substitution, and overtime terms in plain language. This is a planning checklist, not an interpretation of an agreement. Resolve any unclear requirement directly before you decide to book.

Choose against your priorities

Compare complete totals alongside the three priorities you set at the start. A more expensive package might include something you would otherwise buy separately; a simpler offer might already meet everything you need. Write a short reason for your preference before discussing upgrades.

If a provider changes the package, request an updated written quote. Once you choose, save the final scope, payment schedule, and contact details in your planning folder. Enter due dates in your timeline and replace the estimate in your budget with the agreed amount.
